The Otis Foundation – Event and Fundraising Terms & Conditions
These Terms and Conditions apply to all events and fundraising activities run by or on behalf of The Otis Foundation (“we”, “us”, “our”), including third-party events held to raise funds in support of our mission.
General Agreement
By registering for or attending an event, or by organising a fundraising activity in support of The Otis Foundation, you agree to these Terms and Conditions. If you are registering or acting on behalf of others, you are responsible for ensuring that all participants are aware of and comply with these Terms.
Registrations and Payments
For Otis Foundation run events:
- Your place is not confirmed until full payment is received.
- If you request an invoice, payment must be made within seven (7) days of issue unless otherwise agreed in writing.
If you are organising a fundraising event:
- You are responsible for covering any costs associated with your activity, unless otherwise agreed by The Otis Foundation.
- All funds raised must be transferred to The Otis Foundation in a timely and transparent manner.
Cancellations, Changes & Refunds
For events run by The Otis Foundation:
- Tickets are non-refundable. In exceptional circumstances, refunds may be considered at our discretion.
- If the event is rescheduled or relocated and you cannot attend, you may be eligible for a refund if you notify us in writing within 14 days of the change.
- If the event is cancelled, you will receive a full refund.
We reserve the right to make changes to event programs, venues or dates if required.
For third-party fundraising events:
- If you need to cancel or postpone your event, please advise us as early as possible.
- The Otis Foundation is not responsible for any costs incurred by you in the organisation of a third-party fundraising event.
Public Health & Safety
All participants and organisers must follow applicable public health guidelines and any safety protocols in place at the time of the event. This includes adhering to any policies set by venues or authorities.
Conduct
All attendees and organisers are expected to act respectfully and lawfully. The Otis Foundation reserves the right to:
- Refuse entry to or remove any participant whose behaviour is deemed inappropriate or unsafe.
- Decline association with any fundraising activity that may conflict with our values or reputation.
Liability
Participation in any event or fundraising activity is at your own risk. The Otis Foundation accepts no responsibility for:
- Loss, theft or damage to personal property
- Injury or damages arising from your participation
- Expenses incurred in the planning or delivery of a third-party event
We reserve the right to cancel or modify events due to circumstances beyond our control (e.g. natural disaster, public health emergency, venue issues, etc.).
Use of Personal Information
We collect your personal information to:
- Administer your participation or registration
- Communicate important event details
- Keep you informed about other opportunities to support The Otis Foundation
We may share necessary details with:
- Event venues, suppliers and contractors
- IT or administrative service providers
- Government or public health authorities, if required
We will handle your data in accordance with our Privacy Policy. You can opt out of promotional communications at any time.
Photography & Media
By participating in an event or fundraiser, you consent to The Otis Foundation and its affiliates capturing and using photographs, videos or other media that may include your likeness. These materials may be used in promotional or fundraising content (online or offline), without compensation.
If you do not wish to appear in any such media, please notify us in advance.
